The glue between your applications
In a modern company, you easily use 10 to 20 different SaaS applications. HubSpot for sales, Xero for numbers, Trello for projects, and Gmail for communication. Without integration, these are isolated islands. Employees act as "human APIs" copying data from one screen to another. This is slow, expensive, and error-prone. Cloud Captains automates these data flows.
Our Tool-Agnostic Approach
We don't believe in "one tool fits all". Depending on the volume, complexity, and budget, we choose the right engine for your automation.
n8n: The Workflow Powerhouse
Our favorite for complex, data-intensive processes. Because we can run this self-hosted, data remains within your control and you don't pay per "task". Perfect for heavy-duty logic.
Make (Integromat)
The visual king. Make is fantastic for non-linear processes with many branches and routes. Ideal when visual overview is crucial for management.
Zapier
The market leader in connectivity. If implementation speed is key and the process is simple (A to B), Zapier is often the fastest route to results.
Cloud Functions & Webhooks
Sometimes a standard connector isn't enough. Then we write custom Python or Node.js scripts running on Google Cloud Functions for ultimate flexibility.
How we automate
1. Analysis & Blueprint
We map out the current process. Where are the bottlenecks? Which data needs to go where? We draw out the ideal flow.
2. Selection & Build
We select the right platform (n8n, Make, Custom) and build the connections. We ensure data validation and error handling.
3. Test & Validation
We run shadow runs alongside the current process to guarantee that 100% of the data transfers correctly.
4. Monitoring & Alerting
Automation is invisible until it stops. We build in monitoring that warns us (and you) if an API is down.
Use Cases
-
HR Onboarding:
New hire in BambooHR -> Generate contract in DocuSign -> Create Google Workspace account -> Add to Slack channels -> Order hardware in purchasing system. -
E-commerce Finance:
Order in Shopify/WooCommerce -> Create invoice in Xero -> Match payment -> Add customer to Mailchimp (with correct segmentation) -> Update inventory. -
Lead Management:
Lead form on website -> Enrich data via Chamber of Commerce API & LinkedIn -> Check duplicates in HubSpot -> Assign score -> Slack notification to correct sales region.
Frequently Asked Questions about Automation
Great question. We build "Error Handling" into our workflows. If a service doesn't respond, the system parks the data and tries again later (retry mechanism). If it fails after 5 attempts, support gets an alert.
For low volumes (under 1000 tasks/month), Zapier is fine. But for serious processes with thousands of tasks, Zapier gets expensive quickly. Self-hosted n8n costs a fixed server fee (often ~€20-€50/month) regardless of tasks.
We need access to API keys for the build. After delivery, the system runs in your own environment (or one managed for you). We do not store business data ourselves.
If the system has an API, Webhook, or database access (SQL): Yes. If it only exports CSV: Yes, via FTP/Email parsing. If it has nothing: sometimes via RPA (mimicking screens), but that is more complex.
APIs change occasionally. If HubSpot updates, the connection might need adjustment. We offer Service Level Agreements (SLA) to ensure your processes keep running.
Yes, especially by running tools like n8n self-hosted in a European datacenter (e.g., in Frankfurt), data never leaves the EU, unlike some US SaaS solutions.
